POSITION OVERVIEW

The Connected Vehicle Project Coordinator is an exciting position supporting large-scale vehicle retrofit projects for SmartCities and roadway agencies at the cutting edge of vehicle safety research and technology development.  This position rewards a capable individual who is proactive and detail-oriented. You will be responsible for supporting vehicle retrofit projects under the supervision of the Senior Manager Connected Vehicle Services.  Average project duration is six months, but many are multi-year projects that can involve multiple business partners and multiple locations.

ESSENTIAL FUNCTIONS

Project Coordination

  • Attend customer and stakeholder meetings to take notes and capture action items. 
  • Track project open issues, risks, and potential solutions for review.
  • Track project costs and report updates on a monthly basis.
  • Assist with communication between customers and the Brandmotion project team.
  • Ensure projects follow Brandmotion standards and required processes.
  • Prepare draft weekly progress updates for leadership review.
  • Assist with customer invoicing.

Business Development Coordination 

  • Support the outside sales team
  • Attend key sales calls and capture and publish next steps
  • Update the sales forecast weekly 
  • Update HubSpot lead cards and follow up on next steps
  • Coordinate webinars with growth marketing specialist

Event Coordination

  • Develop and manage plans for demos, shows and customer events
  • Track budgets
  • Coordinate and schedule event logistics
  • Work with shared services marketing team to develop marketing materials

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Engineering, Business, or a related field (required)
  • Internship experience, co-op experience, or 1–2 years of project-related work experience
  • Familiarity with project management tools or task-tracking software (preferred)
  • Basic understanding of project coordination concepts and working on team-based projects
  • Ability to work with and gather information from internal teams and external partners
  • Strong team-oriented mindset and willingness to support others
  • Strong computer skills, including proficiency with word processing and spreadsheets (required)
  • Experience with Google Workspace (Docs, Sheets, Drive) (preferred)
  • Flexibility to adapt and respond to changing priorities and customer needs
  • Strong problem-solving skills with the ability to ask questions and seek guidance when needed
  • Self-motivated, dependable, and eager to learn new skills
  • Ability to manage multiple tasks and meet deadlines with guidance from senior staff
  • Clear written and verbal communication skills
  • Strong attention to detail and organizational skills
